Job Description
SUBSTITUTE TELEPHONE CLERK
DEFINITION
To secure substitute employees for both Certificated and Classified Employees
who are absent from work.
SUPERVISION RECEIVED AND EXERCISED
Works under the general supervision of the Program Managers of Human Resources.
Does not supervise any other employee.
ESSENTIAL FUNCTIONS
·
Works directly with the “Subfinder” system for certificated substitute needs;
inputs needs, verifies that all substitute teaching positions are filled and
communicates with school site and district managers regarding statuses.

Receives telephone calls and recorded messages from employees who will be
absent; reviews emails and faxed requests for substitutes.

Works with the Certificated and Classified Personnel Managers to secure
long-term substitutes.
·
Contacts and schedules day-to-day substitutes for absent classified employees
and extra hire requests; notifies school and district administrators of absent
employees and substitutes secured.

Prepares daily and weekly records of substitute services, including logging of
absent employee and substitute secured; provides Fiscal Services with copies of
log sheets on a weekly basis; provides copies of classified substitute call
sheets as requested.

Communicates with appropriate HR staff regarding information changes on
classified substitutes such as phone numbers, addresses or availability to work;
OTHER FUNCTIONS
·
Supports HR Office team by answering phones, greeting visitors to office and
providing basic office clerical support.
·
Performs other related duties as required.
NECESSARY EMPLOYMENT STANDARDS
Knowledge of:
Modern office practices and procedures, and
Location of District schools and other sites.
Computer programs including email,
Subfinder or similar substitute system
Ability to:
Follow oral and written instructions;
Prepare accurate and complete records;
Use independent judgment and initiative;
Communicate effectively over the telephone;
Work cooperatively with others; and
Read, write, speak and understand English well.
EDUCATION AND EXPERIENCE:
Any combination of education and experience that could likely provide the
required knowledge, skills and abilities is qualifying.
A typical way to obtain the knowledge, skills and abilities would be:
Education:
Equivalent to the completion of the twelfth grade.
Experience: One year of
general clerical experience.
